As you may have guessed, there's a lot going on at Business Travel Show Europe and if you’re not prepared, your first time at the show could result in you not maximising your time to its full potential.

Here’s our guide on handling your first show so you can make the most of your time at ExCeL London and most importantly enjoy yourself.

Buyer mentor programme

The Business Travel Show Europe Advisory Board suggested we provide first-time attendees with a little more hand-holding, as navigating a trade exhibition for the first time can be daunting. With that in mind, we have created the Business Travel Show Europe Buyer Mentor Programme.

The programme will connect new-to-the-show buyers with a peer who can provide insight from their personal experience from attending past Business Travel Shows on how best to navigate the multiple facets of the show, for example, allotting their time between exhibitors, education programme and networking. Each mentor will have up to five mentees, and will reach out in advance of the show to each mentee to determine their preference for pre-show and at-the-show contact or both.

The programme will contact all first-time buyers who register by 17 June to individually match them with a seasoned volunteer buyer.

What are my attendance options?

At Business Travel Show Europe, there are three different ticket options to register, each with their own requirements. You will fall into one of the below three categories based on your role and your responsibility.

You can select complimentary buyer registration if you are a either corporate travel manager, meeting planner or a procurement/ sourcing professional responsible for managing your company's or organisation's corporate travel/meetings programme.

You may also qualify for our hosted buyer programme if you manage a minimum £1 million annual travel budget and make budgetary and policy decisions across travel within your organisation

Preparing for Business Travel Show Europe

Before the show

Plan your schedule

Take some time to familiarize yourself with our floor plan, exhibitors and conference agenda. Make a note of which sessions you are most keen to attend, exhibitors you want to visit and any networking events that you want to attend. This way you'll have an idea of how to structure your days around your must-see exhibitors, sessions and networking events.

Map out the exhibitors you want to visit

With hundreds of exhibitors, it’s helpful to plan ahead. Become familiar with the show floor and select who you want to meet on-site so you can plan a route around the show floor each day.

Travelling far? Why not book a hotel close to ExCeL

Attending the show on both days? Got a long commute? Why not book into a hotel close to ExCeL to maximise your time. There are lots of networking events taking place after the show and we'd hate you to miss them due to having to catch a train home.

During the show

Arrive at ExCeL in good time

You may have to queue when you arrive at ExCel so give yourself plenty of time to get your badge scanned before entering the halls. Once inside familiarize yourself with the show floor and exhibition layout. Take some time to walk the floor and make sure that your pre-arranged route still works for you.

Use our event hashtag on your social media channels

If you’re enjoying a particular session or event, let other people know about it. Include #BTShowEu in all of your social media posts – we may even repost your post on our own channels.

Wear comfortable shoes

You’ll do a surprising amount of walking at Business Travel Show Europe. Between leaving your accommodation, walking between sessions and attending networking events, you may well be on your feet all day. Make sure you wear shoes which are comfortable and won't cause you pain.

Stay hydrated and plan in time for breaks

Whilst at the show it's important that you take some time to rest and remember to stay hydrated throughout the day. You'll find plenty of seating areas inside the show as well as locations to top up your water bottle throughout the day.

Remember to turn on your out of office

Before you set off to ExCEL don't forget to turn on your out-of-office so your colleagues and acquaintances know where you are on 28 - 29 June.

Is there a specific company you want to meet with whilst at ExCeL? Head straight to their stand and their team members will be happy to talk you through their products and solutions.

Make sure to attend the networking events

Don't forget to participate in the many networking events put on by our exhibitors. They'll give you ample opportunities to meet the exhibitors and attendees in a less formal setting.

If there's someone you want to talk to, introduce yourself

If there is a particular person you'd like to talk to, you absolutely can walk up to them and introduce yourself. You don't need to wait to be formally introduced by someone else.

After the show

Contact your new connections

Take some time to contact the exhibitors and people that you met during your time at the show. Drop them an email or send them a LinkedIn request to make sure that you stay connected.

Catch up on the content that you missed

Missed a session you really wanted to see? Want to re-watch a panel session you enjoyed? A selection of content will be available for you to re-watch at a time that suits you on our Swapcard platform for 2 weeks after the show. 

Add our upcoming BTN Group events to your diary
